HOTEL & TRAVEL

Hotel Accommodations

You DO NOT need to make hotel reservations. Once you have registered, Kaley Millan at the PanCAN National Office will make hotel reservations based on your registration form. You will receive an email one week prior to arrival, containing your hotel reservation information and all details for the weekend. Hotel Check‐In and Check-Out
Hotel check-in is at 3 p.m. and check-out is at noon on Saturday. The hotel can secure your luggage at the Bell Desk.

Lodging Expenses
The Pancreatic Cancer Action Network will cover the cost of the hotel room for one night for all invited participants.

If you are interested in extending your stay and plan to arrive before event day or depart after the event, please email Kaley Millan at kmillan@pancan.org. You will be required to pay the hotel for the additional night(s) at the time of check-out.

All Regional Volunteer Leadership Summit participants will be required to provide a credit card upon arrival for all room incidental charges. A hold may be placed on your card account for the full anticipated amount to be owed to the hotel, including estimated incidentals through your day of check-out. The hold may not be released for 72 hours from the date of check-out or longer at the discretion of your card issuer. If this is an issue, please contact assistants@pancan.org.

Air Travel | Booking Your Flight

The Pancreatic Cancer Action Network will provide air travel for all volunteers invited to Regional Volunteer Leadership Summit 2019. In order to secure the best prices and save money for the organization's mission, it is imperative that you reserve your air travel as soon as possible and honor the Jan. 25 deadline.

Please ensure you have registered before you book your air travel. Upon registering, you will receive a confirmation email with instructions for booking your air travel. If you do not receive a confirmation email within 24 hours, please email assistants@pancan.org. When booking your travel, please make note of expected arrival and departure times below.

ARRIVAL: All participants must arrive at the airport by 5 p.m. on Friday. Check-in for dinner at the hotel will be at 6:30 p.m.

DEPARTURE: Flights can be booked to depart the airport at 5 p.m. at the earliest on Saturday.

PanCAN will not reimburse for airline baggage fees. These fees are subject to change and can be found on each airline’s website.

Flight Cancellation Policy
  • Tickets are non-transferrable and, once issued in your name, can only be used by you.
  • If you need to cancel your participation at PanCAN’s Regional Volunteer Leadership Summit, you will be responsible for reimbursing the organization for the full cost of your flight within 30 days of cancellation.
  • Once the flight has been cancelled, you will receive an airline credit. In most cases, you will have a full year from the date of purchase to use the ticket as you choose (most airlines will deduct a change fee from the value when you re-book).
  • You must notify Stacey Lubliner, our travel agent at Travel Edge, to cancel your flight. If the flight is not cancelled before your flight date, your ticket will become null and void.
  • You will also need to contact Kaley Millan, kmillan@pancan.org, to cancel your hotel reservation.

Ground Transportation

Transportation to Hotel from Airport
Hotels for Region 2 and Region 3 are located at the airport, while the Region 1 hotel offers free shuttle transportation. PanCAN will not provide reimbursement if you choose to use a different form of ground transportation to and from the airport. For volunteers flying in and renting a car, we are unable to cover the cost of a rental car or overnight parking as well.

Driving to Hotel
For volunteers who plan to drive instead of fly, PanCAN will cover the cost of overnight parking at the hotel, as well as mileage at the 2019 mileage rate. Please contact assistants@pancan.org in order for us to calculate the total cost of your trip.

Dress Code: Please dress comfortably in casual attire, except for the Friday dinner and networking event, which is a Superhero T-shirt theme. As always, we encourage you to pack your purple to show your city that you Demand Better for pancreatic cancer!

Code of Conduct: As an attendee of PanCAN’s Regional Volunteer Leadership Summit, one agrees to maintain his/her conduct throughout the entirety of the weekend. No one under the age of 21 shall consume alcohol. Please note that anyone displaying compromising conduct will be addressed by staff.
